Interactive Event Activity

Meet our client, Sidney.
She works with the Food Safety department of a corporate brand doing content management (and many other things). She’s also new mom! Sidney came to us with a fun idea…

“You know how some kid’s books have those cute ‘lift-the-flap’ illustrations? I wonder if we can make something like that to inspire conversations during Food Safety Week...”

After some brainstorming, sketches, and a chat with our vendors, we figured out how to do exactly that.

MISSION

Create an quick, engaging, and conversational activity that will draw internal audiences to participate in Food Safety Week on their way to (or from) lunch.

Concept Stage

Sketching | Prototyping | Production Quoting

The first step of any project like this is a Live Session, where our Creative Director explores the idea live, and we leave with a plan for next steps.

In this case, those next steps involved a LOT of research, sketching, mockups, and some initial conversations with vendors to get a ballpark idea of costs (plus to see who was a good fit for the work). Was it possible? YES.

Along with many sketches, our Creative Director also created a functional prototype. This served as not only a proof-of-concept for our client (and our client’s boss), but also aided us in talking through the production side with our vendors. Through the development stage, we also leaned on these prototypes to help visualize and plan how the flaps needed to be setup in our design files. Some of them were a little tricky!

Development Stage

Styling | Illustrating | Reviewing

We were thrilled to partner with talented illustrator Ren James for this project. Using client-approved sketches as a base, Ren gave our Creative Director a few stylistic options, then moved forward with producing the full illustrations for each piece.

After the illustrations were approved, we did another proofing round with the client, and began to build the production files. Before sending for print, we created one more set of functional prototypes to proof the final product with our client and ensure production ran smoothly.

Production & Delivery

Proofing | Printing | Assembling

Print and assembly for this project was a joint effort between our vendor and Creative Director. Since we were printing the same artwork on two different materials (laminated foam core and uncoated cover) color proofing and management was going to be a challenge. Fortunately our vendor was up to the task! The final pieces were remarkably cohesive once assembled.

While the foam core was only being sliced in a single straight line (for the pass-through piece attachment), each of the flaps had to be hand-cut, posing a risk to our deadline if reprints were needed. To buffer this, our Creative Director ordered a double print of the flap files, so mistakes could be made. About one third of that buffer order was used during assembly!

Thanks to good planning and a dedicated team, all 32 custom made, lift-the-flap boards were ready a full week prior to the event.

Results

Sidney and her team had one of their most successful Food Safety Week Activations yet! Audiences were clustered around the flip-up boards, answering the questions, winning prizes, and engaging in lively debates and discussions.

Bonus Points: Since these designs were centered around common Food Safety topics, Sidney has since been able to reuse the digital versions of our illustrations in presentations and other content - making this project a double success.
